Company Policies

The views, expressions and information provided by this site is that of T.S. Warren Data Services, LLC only and does not necessarily reflect those of our partners. For official information related to our partners and their products, services and support options, please contact them directly.

Payments are payable upon presentation of invoice and are generally offered with payment terms of Net 15. Payments must be received by T.S. Warren on or before the date specified on the invoice to be considered on-time. Payments are considered received when:

  • Checks and Money Orders: Received by T.S. Warren from the postal service or other courier
  • Credit Cards: Payment is authorized by phone or online bill payment
  • Wire, ACH and EFT (electronic funds transfers): Payment is received by T.S. Warren’s bank

Late Payment Fees

Charges are payable upon presentation of invoice. If payment is not received on or before the date specified on the invoice, the following charges will apply.

  • 2% of past due amount, with a minimum of $5.00 per month
  • Any other collection expenses required to collect debt

Returned Check Fee

If a check is returned unpaid we will attempt to redeposit the check one-time. For each instance of returned payment, the following fees will apply.

  • $35.00 per occurrence or maximum amount permitted by law
  • Any other collection expenses required to collect debt
  • Repayment must be paid by certified or cashier’s check and include returned check fee

Credit Card Chargeback

If a credit card charge is authorized by client or client’s representative and is later disputed with the credit card issuer, the following fees will apply.

  • Repayment of original charged amount by certified check
  • $35.00 returned payment fee

The following is provided as a guideline of consultant travel policies related to our services. Specific terms may be included in contract or letter of agreement and supercede the information provided here. For current reimbursement rates, see Rate Sheet.


The company will choose the most efficient and cost effect method of transportation, including personal automobile, air, train, taxi or other transportation.

In general the following guidelines will be used:

Less than 3.5 hours

Automobile or Air

More than 225 miles

More than 3.5 hours


When worksite is less than 100 miles and two hours from company office, the consultant will travel by automobile. Client is responsible for mileage as outlined on rate sheet. Client is responsible for tolls and parking fees.

Consultant and client may choose either automobile or transportation if the worksite is less than 225 miles for 3.5 hours from company office. Generally, the most cost and time effective option will be chosen.

When worksite is more than 225 miles or 3.5 driving hours from worksite, air transportation will be used.

Automobile Travel

Client is responsible for mileage reimbursement at current rate as listed on Rate Sheet or contract. Client is also responsible for all tolls and parking charges.

Air Travel

The Company’s preferred airline is Delta Air Lines. Delta will be chosen if the fare is 25% or less than the price of alternative airlines. The following airline preferences apply:

Frontier Airlines

Southwest Airlines

Spirit Airlines

United Airlines

Sun Country Airlines

The following class of service guidelines apply:

Basic economy may not be booked under any circumstance.

When choosing itinerary, non-stop flights are preferred and should be booked if cost is less than 25% greater than multiple-stop flights. Total cost includes airfare, pre-assigned seat charges and baggage fees. Note: T.S. Warren Consultants are exempt from checked baggage fees on Delta Air Lines.

Client is responsible for the cost of airfare plus any applicable baggage and seat assignment fees. Consultant is responsible for food and in-flight entertainment charges.


The Company’s preferred hotel chains are Marriott, Hilton and Intercontinental and their related brands. When preferred hotel rates are less than 25% greater than alternative providers, a preferred company will be booked.

The Consultant reserves the right to decline any lodging option based on personal safety or cleanliness concerns. In general, any hotel rated less than 3.5 stars on TripAdvisor will not be accepted.

Client is responsible for room charges, mandatory resort fees and gratuities for housekeepers. Daily gratuities for housekeeping will not exceed $5.00 per day. Consultant is responsible for in-room internet, non-mandatory hotel fees and sundries.

Public Transportation or Car Rental

When feasible, Consultant will use public transportation (taxi, shared ride service or light rail) when traveling near worksite. If public transportation is not feasible a rental car will be provided.

Client is responsible for transportation fares, fees, and driver tips. Driver tips will not exceed 20% of fare.

The Company’s preferred rental car companies are Enterprise and National. When preferred suppliers’ rates are less than 25% greater than alternatives, a preferred supplier will be used. Minimum car class is Mid-Size.

Booking Procedures

Company will arrange travel unless otherwise agreed upon with Client. If Client arranges travel, Consultant reserves final approval for bookings.

When Company arranges travel, receipts will be provided. Acceptable receipt documentation will include photocopied invoices and receipts. Amounts included in the per diem charges will not be itemized. If an original receipt is unavailable, an Expensify Guaranteed Receipt will be provided.

Frequent Travel Programs and Upgrades

The Consultant is permitted to keep any frequent traveler miles and points. If eligible, Consultant may take advantage of any upgrade or promotional offers from suppliers. Company is responsible for any additional charges that exceed the booking policies outlined above. If real savings are achieved, Client is responsible for and will be charged the full, non-discounted rates.
